Configuring Outlook 2007 for Exchange 2007 and 2010

 

Introduction

When connected to Exchange 2007 or 2010, Outlook 2007 utilizes a service called “autodiscover”.  This service finds resources for handling Free/Busy information, the Offline Address Book, and Out-Of-Office notifications.  In addition, the “autodiscover” service allows Outlook’s ‘Auto Account Setup’ feature will work, greatly simplifying the setup of an Outlook profile.

 

 

Part 1 - Creating the Outlook Profile

 

Note: Screenshots are from Windows Vista, but the procedure is the same for Vista, XP, and Windows 7

 

1.     Use the Outlook 2007 Setup Helper to prepare your computer for autodiscovery. Start by clicking the following link:

(Note – If you are running Windows 7 or Vista, you’ll want to right-click the above link, save the file to a folder on your PC, then open that folder, right-click the file, and select ‘Run as administrator’ from the pop-up menu.) 

 

When prompted, choose to “Run” the application.  You will see a window that asks for your email address:

 

 

Enter your primary email address, then click the “Add Thoughtbus ‘autodiscover’” button, after which you can close the window.

 

  1. Next, click the Start button (which in Vista and Windows 7 looks like this: ), choose “Control Panel”, and on the left-hand pane, click “Classic View”.  Then double-click “Mail” from the list of options:

 

 

  1. Next, click “Show Profiles”:

 

 

  1. Now you will come to the following window, which may or may not have a pre-existing profile.  Either way, click the “Add…” button:

 

 

and give your profile a descriptive name…

 

 

and click “OK”.

 

 

Part 2 – Configuring the Account in the Profile

 

  1. If you are setting up Outlook 2007 for the first time, you will see the following two windows; click “Next” on the “Outlook 2007 Startup” window, and then answer “Yes” to the question of whether you’d like to set up an email account.  If you’ve used Outlook 2007 before, you’ll jump straight to the window in step 2.

 

 

 

 

  1. This next window is entitled “Auto Account Setup”.  Here, you’ll want to enter your name and your email address (the same email address you entered previously in Step 1 of Part 1), and then click “Next”:

 

 

3.     You’ll see the following window for a few moments:

 

 

4.     During this setup phase, you will be prompted for your username and password a few times with this window:

 

Enter your UPN Login ID here.  This will usually be the same as your email address, but if you don’t know it, contact your Thoughtbus administrator.  Then enter your password and click OK.  Note that you may see this window up to three times.  This is normal.

 

5.     If you see this prompt:

 

 

6.     Click the “Don’t ask me about this website again” checkbox, and click “Allow”.  You should then see a window congratulating you on the successful configuration of your profile.

 

7.     Next, you’ll want to ensure that Outlook doesn’t default to your old profile.

 

If you have more than one profile listed now, ensure that the “Prompt for a profile to be used” button is selected, OR that your new profile is listed under “Always use this profile”.

 

In other words, you want either this:

8.     The last step is to make a change to your options.  Highlight your new profile and click “Properties”.

9.     Next, click the 'Email Accounts...' button:



10.  In the ‘Account Settings’ window that displays next, double-click the 'Microsoft Exchange' account.

 

11.  Then in the ‘Change Account’ window that appears, click the “More Settings…” button, select the “Connection” tab of the resulting ‘Microsoft Exchange’ window, and on the bottom of the window, select “Exchange Proxy Settings”.  You’ll see the following window:

 

 

12.  Here, just check the circled checkbox for “On fast networks…”, then click “OK” twice, and then “Next”, and “Finish”, and your Thoughtbus account will be completely configured in the Outlook Profile.
